Week 8 • Fall Season

Late header sends the U12s through

  • Fundraising without the fundraiser

Local sponsors sign up on their own, and your club never runs another raffle.

  • Picks up where your team app leaves off.

TeamSnap, LeagueApps, GameChanger all run the season. ClubDispatch tells the story.

  • A voice memo is all it takes.

Talk or text the highlights on the way to the car. ClubDispatch takes it from there.

  • Save every game, not just the last one.

Nothing gets lost in a group chat. Memories of the whole season are captured for slideshows or photo books.

The story of the season, one game at a time.

Recaps, photos of the big moments, and a shoutout for whoever earned one. It goes to everyone who follows the club: parents, grandparents, or the aunt three states away. No app, no login.

The write-up takes less time than the drive home.

Talk for 30 seconds after the game. AI writes the first draft, the way a coach would say it. You edit and approve before anything sends.

  • Only allows player first names.
  • Keeps the tone positive and uplifting.
  • Tailored to the sport your club plays.

What the coach said · Baseball

“Tough one, but we came back and won 5–4. The bench was sporting the rally caps. Ben pitched great, four innings. And Sam hit one out in the last inning, first one ever for him.”

What families read

Ben worked four strong innings on the mound before the Falcons rallied for a 5–4 win. The dugout was rocking the rally caps, and they came through again. Sam cleared the fence in the sixth for the first long ball of his young career.

The season ends.
The memories stay.

Every photo and write-up from the year is preserved. Come season’s end, the slideshow is ready to go. Tweak it if you want, then present it at the banquet or email it to every family. Or have the whole season printed and bound as a photo book they’ll still pull out when the kids are grown.

How Sponsors Support Clubs

How sponsors are thanked

Built on twelve years of late nights.

ClubDispatch was founded by a youth sports parent who has served as a volunteer board member for over twelve years. He has spent the late nights on schedules, registrations and emails. He has also watched rising costs push families out, and he wants youth sports within reach of every kid. His own kids are older now, and the photos and stories from their early sports seasons mean more every year. He started ClubDispatch to give clubs an easy way to keep those memories, and an easy way to raise money without the fundraisers nobody has time for.

Questions clubs ask

Does this replace TeamSnap / GameChanger / our group chat?

No, ClubDispatch works alongside them. Where those tools run your club, ClubDispatch tells the story of the season.

How does a recap actually get made?

The club assigns a parent or two, or the coach or team manager, to capture the highlights of each game. They get a link to the ClubDispatch recap tool where they can type or speak the key game details in about 30 seconds. ClubDispatch prompts for the essentials, like the opponent and the score, as well as the key moments of the game. With AI assistance, a draft recap is created that the submitter can edit before sending it to the club. The club approves it as is, or edits it further, before it goes into the next dispatch.

After a game, ClubDispatch asks:

  • What was the play everyone’s still talking about?
  • Who did the quiet work? The kid who never came off, the one who kept everyone organized.
  • Anything that made this one special? A first, a comeback, someone back from injury.

The questions change with the sport.

Will the recaps sound like a robot wrote them?

No. In fact, a key part of ClubDispatch is using AI to speed up the writing without sounding like AI. AI gathers the essential information, but it prompts for and uses actual quotes from the people at the game. That keeps the recaps entertaining and compelling, something families will want to read. Plus, all content is editable, and nothing sends without the club’s approval.

How are photos managed?

Photos can accompany a game recap or be submitted on their own and kept in the team’s photo bank for the season. Every photo has to be approved by a club administrator before it’s sent out. No last names are used. Even if someone enters a last name by mistake, the tool removes it.

How often does it go out?

As often as you like. In season, most clubs send weekly or every other week. In the off season, monthly is more typical. It’s your call.

Do we have to take sponsors?

No. Sponsorship is optional, and the dispatch, the slideshow and the photo book all work without it. ClubDispatch simply gives your club an easy way to take on sponsors when you want to.

How does sponsor money work?

You invite local businesses and they sign up and pay on their own. The money is stored in your club wallet, where you can transfer it out to a bank account or spend it directly with retail partners, often at a discount. No chasing down checks, no IOUs, no awkward phone calls. ClubDispatch withholds a small fee to cover payment processing and platform costs.

How do clubs pay for it?

ClubDispatch is a subscription, priced so that one local sponsor can cover the whole year.

Who owns everything?

Your club owns everything ClubDispatch generates, the stories and the photos, plus everything related to the club: the family email list, the sponsor contacts, and of course the relationships. You can export all of it, at any time.

What happens at the end of the season?

A slideshow is created from the pictures submitted that season. It can be edited or added to, like you otherwise would. Then it can be shown to club families, say at an end-of-season event, or emailed for families to watch and share with others. A draft photo book is also created, which families can order to keep the memories of the season in print.
